Gala & Large Event Catering Melbourne

Black-tie galas, fundraisers and 300+ guest functions — catering with the polish and logistics to match a formal, high-stakes room.

Gala & Large Event Catering

Melbourne Gala & Large Event Catering

Feeding 500 people well is a logistics problem before it is a cooking one. Service points, staffing ratios, hot-holding, kitchen access and a run sheet that lands courses between the speeches rather than during them.

We cater galas, fundraisers, awards nights, conferences and large community events across Melbourne, with formal plated service or parallel buffet stations depending on what the programme needs.

For anything over 300 guests we do a site visit before quoting, because the honest answer about what a venue can support is not one you want on the night.

  • 300 to 500+ guests
  • Formal plated or parallel buffet stations
  • Site visit before quoting
  • Dietary service points run separately
  • Venues without commercial kitchens
  • Multi-day conferences and festivals

Where We Cater

Melbourne-Wide, From Our South Kingsville Kitchen

Our production kitchen is in South Kingsville and our vans go everywhere — the inner west, the CBD, the bayside suburbs, the north and the outer west. Any delivery charge is quoted up front, never added later.

South Kingsville · Williamstown · Newport · Yarraville · Altona North · Point Cook · Hoppers Crossing · Tarneit · West Footscray

Events at this scale need somewhere that can actually take 800 people and their cars, which narrows Melbourne quickly. Ultima Function Centre in Keilor East handles the top end with eight spaces and on-site parking, and it draws easily from Sunshine, Essendon, Taylors Lakes and the northern corridor. CBD and Docklands venues suit corporate galas where guests arrive by train or tram and stay in the city. Industrial sites and pavilions across Footscray, Altona North and Werribee work for festival-style events but need generator power and a full back-of-house build. Peak gala season runs March to May and September to November, and large venues for Saturday nights in those windows are booked a year out.

FAQs

Gala & Large Event Catering — Your Questions Answered

What size events count as gala or large-scale?+

Anything from around 300 guests upward, and we regularly cater 500-plus. Above 300 we do a site visit before quoting to plan service flow, kitchen access and staffing properly.

What service style works at that scale?+

Formal plated service for seated award nights and fundraisers where timing matters, or buffet with multiple parallel service points where you need to feed people fast. Many galas run canapés on arrival then one of the two.

How do you stop queues at a 500-guest event?+

Multiple service points rather than one long line, sized to the guest count, with dietary stations run separately so guests are not hunting through a buffet. For 300-plus we typically run parallel stations.

Can you do plated service for 400 people?+

Yes, with the right staffing and kitchen or prep access at the venue. Plated at that scale is a logistics exercise — we will tell you honestly what the venue can support.

Do you cater fundraisers and awards nights?+

Yes. Both have fixed programme timing, so the run sheet matters more than usual — courses need to land between speeches rather than during them.

Can you work in a venue without a commercial kitchen?+

Yes, that is standard for us. We cook in our South Kingsville production kitchen and bring hot-holding equipment. Your venue needs space and access, not a kitchen.

How do you handle dietary requirements at scale?+

Vegetarian, vegan, gluten-free and halal are part of every menu. At gala scale we run clearly labelled separate service points, and plated dietary meals are tracked to the table.

How much staff do you bring?+

Sized to the guest count and service style. Your quote itemises staffing separately so you can see exactly what the service component costs.

How far ahead should we book a large event?+

Two to three months minimum. Large events need a site visit, a staffing plan and supplier coordination that cannot be rushed.

Can you cater a multi-day conference or festival?+

Yes. We vary the menu across days so attendees are not served the same thing twice, and we plan service points to match each day’s programme.

What about outdoor galas and marquees?+

We cater them regularly. We need to know about power, water, shade and vehicle access, and we build a wet-weather contingency into the run sheet.

Do you have venues that can host a gala?+

Ultima Function Centre handles up to around 800 guests across eight event spaces. For larger or site-specific events we cater wherever you choose.

What is the largest event you can cater in Melbourne?+

We cater events up to eight hundred guests, which is the capacity of our own Ultima Function Centre in Keilor East. We also cater into external Melbourne venues at that scale, subject to a site inspection of the kitchen, loading access and holding space. Above eight hundred we would discuss a staged or multi-room service plan.

How many staff do you bring for a 500 guest event?+

Crew size for a five hundred guest event is built from the service style, the venue layout and the number of buffet lines, and includes separate kitchen, line and floor teams plus a dedicated service supervisor. We confirm the exact roster in the quote. Understaffing at this scale causes queues and cold food, so we do not trim it.

How do you serve a large room without the food going cold?+

We stagger service by zone and feed multiple buffet lines from separate holding stations, so the room is released in sequence rather than all at once. Mains are chosen for how they hold at volume, and fried entrees go out in timed batches. The goal is a tight window between the first and last guest eating.

What if the venue does not have a commercial kitchen?+

We can cater venues without a commercial kitchen by cooking off-site and bringing our own hot-holding and serving equipment. What we need instead is vehicle access close to the serving area, adequate power, and enough space for a holding and plating zone. We inspect the site first so the crew and equipment plan matches what the building can support.

Do you work to a run sheet for awards nights and galas?+

Yes, we build our service times into the event run sheet alongside the speeches, awards and entertainment, and a supervisor runs the food against it on the night. Every food moment gets a time and a trigger. Send us your draft run sheet early, because entree and dessert timing is usually where conflicts show up.

How do you handle dietary requirements at a 600 guest dinner?+

Dietary meals at large events are counted, cooked and plated separately, then delivered to identified seats rather than sorted out at the buffet. We need the numbers and the table allocations two weeks out in writing. Vegetarian, vegan, Jain and halal requirements are standard for community galas and we plan capacity for them from the start.

How do you deliver plated service to 600 guests without food going cold?+

By zoning the room and running waves, with holding equipment positioned close to each zone. Plates are assembled in a staged sequence rather than all at once, and each zone has its own runner team and release time. The floor manager calls waves from the room, not the kitchen. The venue’s back-of-house layout determines how many zones are possible, so we assess it early.

Can you run a gala at a venue with no commercial kitchen?+

Yes, with a mobile kitchen build. We bring cooking, holding and refrigeration equipment, which requires confirmed power or generator capacity, water access, a level footprint and waste arrangements. Warehouses, sports pavilions and marquee sites all work when planned properly. A site visit is non-negotiable at this scale — the power load alone decides what the menu can include.

How many staff does a 500-guest gala need?+

Enough for service, replenishment, clearing, back of house and a floor manager who runs the room rather than carries plates. The number moves with service style — plated service needs substantially more floor staff than stations. We set the headcount against the floor plan, the course count and the program, then confirm it with you in writing before the event.

Can you handle a charity gala with an auction or formal program?+

Yes. Auctions, speeches and award presentations all compete with food, so the program and the service sequence are built together. Courses land in gaps, clearing happens between segments rather than during them, and staff stay off the floor while the stage is live. Send the draft run sheet as soon as it exists and we will mark the food windows on it.

What happens if the final guest count moves close to the date?+

We set a confirmation deadline, usually two weeks out, and work to an agreed tolerance either side. At gala scale, large late swings affect food ordering, staffing rosters and equipment hire, so the earlier the signal the better. Small movements of twenty or thirty guests are absorbed without drama. Tell us as soon as registrations indicate a trend.

Do you cater multi-session events with a conference and gala dinner?+

Yes. Day sessions with morning tea, lunch and afternoon tea followed by an evening gala is a standard structure for us. One plan covers the whole day, so equipment stays in place and the room turn between day and evening format is scheduled rather than improvised. Confirm the turn time with the venue, since it is usually the tightest part of the day.

In Detail

Large Scale Catering For Galas And Community Events

We cater events from three hundred to eight hundred guests: awards nights, charity fundraisers, community galas, association dinners, religious festival dinners and corporate end-of-year functions. At this size catering stops being about recipes and becomes about logistics — kitchen access, holding capacity, crew numbers, service sequencing and a run sheet that the whole room depends on. Our own Ultima Function Centre in Keilor East handles up to eight hundred, and we also cater into external venues across Melbourne.

Large events punish guesswork. A six hundred guest dinner where service starts twenty minutes late pushes the speeches into the awards, and the awards into the pack-down. So we plan backwards from the run sheet and commit to service times in writing. Menus at this scale are deliberately tighter than at a wedding — fewer dishes, cooked in volume, held properly. Fewer choices served hot beats a long list served lukewarm, every time.

Why Us

What Scale Actually Demands

Crew numbers that match the room

A five hundred guest dinner needs a service crew sized for the room, not a scaled-up version of a party team. We roster separate kitchen, buffet line and floor staff, with a supervisor whose only job is watching the run sheet. Understaffing shows up immediately at this size as queues, cold food and a blown service window.

Staggered service by zone

Serving eight hundred people at once does not work. We split the room into zones and release them in sequence, or run multiple buffet lines fed from separate holding stations. Either way, the aim is that the last table eats within a tight window of the first rather than forty minutes behind.

Volume cooking without the drop

Some dishes hold at volume and some fall apart. We build large-event menus from the ones that hold — slow-cooked curries, biryani, dal, tandoor items off a live station. Fried entrees go out in timed batches rather than all at once, so what reaches table three hundred is the same as what reached table one.

Menu By Course

A Gala Dinner Menu For Six Hundred

Large event menus are deliberately shorter than wedding menus: a tight entree selection, four or five mains chosen for how they hold at volume, then dessert.

How It Runs

Running Service For Five Hundred Guests And Up

Planning starts with the venue, not the menu. We need to know what the kitchen can actually do: how many ovens, how much cold storage, whether there is a loading dock, how far it is from the dock to the room. Many large Melbourne venues have a servery rather than a production kitchen, which is workable — we cook off-site and bring hot-holding capacity — but it changes the crew numbers and the bump-in time. We do a site inspection before quoting on anything above about four hundred guests.

Then we build the run sheet with the organiser. Doors, welcome, entree release, speeches, main service by zone, awards, dessert, close. Every food moment is tied to a time and a trigger, and the supervisor holds that sheet on the night. Large community galas also involve high dietary-requirement counts — vegetarian, Jain, halal, vegan, gluten-conscious — which have to be counted and plated separately, not sorted out at the buffet. We want those numbers two weeks out, in writing.

Worth Knowing

Large Event Failures That Repeat Every Year

01

Planning service around one buffet line

A single buffet for 500 guests creates a forty-minute queue and a cold back half of the room. Large events need the room zoned, with several service points and timed releases per zone. That is a floor plan decision made with the venue months out, not a staffing adjustment on the night. Share the seating layout before the menu is finalised.

02

No link between the stage and the kitchen

Award segments run long, speakers overrun, and the kitchen hears nothing. Courses then land mid-speech or sit under heat lamps. Put one floor manager in direct contact with the MC and the kitchen, with agreed hold and release signals. The program should have food windows written into it, visible to every supplier, not just the event committee.

03

Underbuilding back of house

Galas get judged on the dining room, but they fail in the back. For 600 guests you need wash capacity, bin runs, staff break space, a holding area and clear trolley paths. Venues often allocate a corner. Walk the back-of-house footprint at the site visit and confirm bin collection times, water access and where dirty plates will actually go.

04

Leaving dietary counts to the night

At gala scale, special meals have to be identified, prepared, tracked and delivered to named seats. Collecting requirements at registration and ignoring them until the night guarantees mistakes. Lock dietary numbers with the seating plan two weeks out, mark the table map, and brief the floor team so each special meal reaches the right chair without a search.
